Frequently Asked Questions
Before using PAYE to pay employees, follow these steps:
- Register with HMRC as an employer and receive a PAYE reference number.
- Request an employee's tax code and national insurance number for payroll.
- Ask for a P45 if the employee has had prior employment to update their tax liability. If unavailable, HMRC provides a checklist to estimate the amount owed.
With this, you're ready to process your first employee’s pay with PAYE.
Payroll tax deductions primarily include National Insurance contributions (NICs), which the employer must pay for both themselves and their employees. Additionally, income tax, pensions, student loans, and other contributions must be deducted based on each employee’s income. Ensure you have accurate data for each employee.
Employers must enroll employees in a pension plan unless their weekly income is below £120. Contributions are due by the 22nd of each month. Employees can leave or re-join the pension plan annually. Pensions are typically deducted from pay, though the employer may bear full responsibility in some cases.
RTI (Real-Time Information) is HMRC's system for tracking payroll data. Once submitted, errors cannot be withdrawn. Employers must notify HMRC of any employee changes, such as resignations, terminations, or new hires.
